Calm Quest Refund & Cancellation Policy

Effective Date: 14 July 2026

Thank you for booking with Calm Quest. We curate and facilitate bookings between guests and independent accommodation hosts and experience providers. By making a booking with Calm Quest, you acknowledge that you have read, understood, and agreed to the following Cancellation Policy.

1. Booking Confirmation

A booking is confirmed only when:

  • Payment has been received.

  • The accommodation host has accepted the booking.

  • Calm Quest has issued a booking confirmation.

2. Non-Refundable Booking Fee

Every booking includes a Calm Quest Booking & Administration Fee.

Once the host has confirmed your reservation, this fee is immediately non-refundable, regardless of whether the booking is later cancelled by the guest. This fee covers administration, reservation management, payment processing, customer support, and coordination with accommodation hosts and experience providers.

3. Deposits and Final Payments

Where a deposit option is offered, the remaining balance must be paid by the due date specified during the booking process.

Failure to pay the remaining balance by the due date may result in cancellation of the booking without refund of any amounts already paid, subject to the host's cancellation policy and applicable law.

4. Guest Cancellations

If you cancel your booking:

  • The Calm Quest Booking & Administration Fee is non-refundable once the booking has been confirmed by the host.

  • Any refund of accommodation or experience costs will be determined according to the cancellation policy of the relevant accommodation host or experience provider.

  • Approved refunds will be processed to the original payment method where possible.

5. Booking Amendments

Requests to change travel dates, guest numbers, accommodation, or experiences are subject to availability and approval by the relevant host or provider.

Additional charges or price differences may apply.

Calm Quest cannot guarantee that requested amendments can be accommodated.

6. Host Cancellations

Should an accommodation host or experience provider cancel a confirmed booking, Calm Quest will make reasonable efforts to secure a suitable alternative.

If no suitable alternative is available, any refund will depend on the amount recovered from the host or provider and the circumstances of the cancellation, together with any legal obligations applicable to Calm Quest.

7. No-Shows and Early Departures

No refunds will be provided for:

  • Failure to arrive on the scheduled check-in date.

  • Late arrivals.

  • Early departures.

  • Unused accommodation, experiences, meals, or services.

8. Force Majeure

Calm Quest shall not be liable for delays, cancellations, or failure to perform due to events beyond its reasonable control, including but not limited to natural disasters, severe weather, pandemics, government actions, strikes, civil unrest, transport disruptions, or other unforeseen events.

Refunds in these circumstances will depend on the policies of the accommodation host, experience provider, insurer, or payment provider where applicable.

9. Payment Processing

Where permitted by law, transaction fees charged by payment gateways, banks, or financial institutions may be deducted from approved refunds.

10. Travel Insurance

Guests are strongly encouraged to purchase comprehensive travel insurance to protect against cancellations, illness, accidents, medical emergencies, and other unforeseen events.

11. Limitation of Liability

Calm Quest acts solely as a booking facilitator and does not own or operate the accommodation or experiences offered on its platform.

Accommodation hosts and experience providers remain responsible for the delivery, quality, safety, and operation of their services.

To the fullest extent permitted by law, Calm Quest shall not be liable for any loss, injury, damage, delay, cancellation, or expense arising from the acts or omissions of third-party providers.

12. Consumer Rights

Nothing in this policy excludes or limits any rights that guests may have under applicable consumer protection laws. Where required by law, Calm Quest will comply with its legal obligations.
